Terms & Conditions
1. A non-refundable booking fee of £200 will be required to secure your booking and wedding/event date with Flowers Inside My Head. This can be paid by bank transfer, cash or cheque. Credit cards are not accepted. By paying this booking fee you are agreeing to these terms and conditions, without exception. No wedding or event is booked until the booking fee is paid. If you decide to postpone the wedding or move the date, we will hold your booking fee until your wedding goes ahead and rebook subject to the date being available. The booking fee will be subtracted from your final wedding invoice.
2. Your quote will be sent out to you after the initial consultation, this is a guide price as you may wish to add other items closer to your wedding day. The booking fee and signed terms & conditions will then be due within 14 days of the quote date if you wish to go ahead and use Flowers Inside My Head
3. After the initial consultation and once you have approved the quote and paid the booking fee, a site consultation can be arranged with yourself and a final consultation can be booked in for 3 weeks before your wedding/event to finalise any requirements. As this will be after the final payment is received, an additional invoice will be sent out if there are any extras, payable within 7 days of receipt. Your flowers will be ordered approximately 14 days before your wedding/event. After this time it may be possible to add to the order, but not subtract.
4. Prices quoted will take into consideration a premium for weddings/events that occur over Valentine’s Day, Mother’s Day weekend or any public/bank holiday. This is because flower prices rise considerably during these times due to demand. European national days (like Mother’s Day) and bank holidays can also affect price and availability.
5. The final balance will be due 4 weeks before the wedding date, for example if the wedding is on 12th July, the balance will be due on 12th June. This can be paid by bank transfer, cash or cheque. Credit cards are not accepted. Flowers Inside My Head will provide the designs listed in your wedding/event quote, any other items added will be charged at an additional cost per item. The quote will be adjusted and resent to reflect these changes. Amendments must be made in writing by the bride, groom or person commissioning the event.
6. If no payment has been received 3 weeks before the wedding/event date, Flowers Inside My Head reserves the right to cancel wedding/event flowers and is not obliged to offer compensation or a booking fee refund.
7. Fresh flowers are a living product and due to seasonality there are occasions when a particular flower may be unavailable. Whilst every effort is made to source a product, in the event that we can’t, Flowers Inside My Head cannot be held responsible for any failures of delivery of special orders by the wholesaler. In the rare case of delivery failure or unavailability we will do all we can to substitute the ordered flowers with the nearest varieties to the original order. Small variations in colour and size may occur. This will be discussed with you. All fresh flowers are subject to availability and stringent quality checks.
8. You are welcome to collect your flowers for free, or I can deliver.
Travel to the venue is charged at 50 pence per mile, for travel time over 60 minutes a rate of £15 per hour or part thereof will be charged in addition to mileage.
9. Flowers Inside My Head will deliver on the day. Any queries must be raised within 30 minutes of delivery by calling 07932 657977.
10. Please be aware that Flowers Inside My Head cannot guarantee flowers to be open at the required time, although we do our best to help them open in time they are ultimately a living product that we are unable to control.
11. Trial designs can be made but will be charged at the full value as stated on your quote and must be paid for in advance, as with a general flower order. Any mock bouquets made for you, along with any designs, photographs of our work we allow you to view/take away are subject to copyright laws. Therefore you are not permitted to show them or allow them to be seen/copied or used by any other florist without express consent of Flowers Inside My Head. If you choose not to use Flowers Inside My Head for your wedding/event flowers then any designs/sketches and photos must be returned without being copied.
12. If any elements are being transported from one venue to another by anyone other than Flowers Inside My Head staff, you do so at your own risk.
13. If setting up is required it is the responsibility of the Bride and Groom to ensure access and parking is available near the venue, any parking charges may be passed on. Additional hourly charges will be added to accommodate setting up.
14. If you choose not to have Flowers Inside My Head set up on the day, it is the Bride and Groom’s responsibility to organise a suitable set up. Any breakages or damage to flowers or arrangements will be the Bride & Groom’s responsibility once they leave our premises.
15. Flowers Inside My Head reserves the right to use your event and images of it for publicity and marketing purposes after your event on our website, social media and printed advertisements.
16. Flowers Inside My Head cannot be held responsible for failure to deliver any order due to an act of God, terrorism, crime, transport failure, sudden ill health, extreme weather conditions (including snow and flooding), or denial of access to venues or religious sites. Flowers Inside My Head recommends purchasing wedding insurance from a reputable company to protect your investment on your wedding day. However, in cases of adverse weather we will remain in contact with the Bride and Groom in the lead up to the event and, if the event is out of season, we will discuss a contingency plan with yourselves. If due to ill health, Sophie Warren-Smith from Flowers Inside My Head is unable to personally complete or deliver your event, then this will be completed by a member of our experienced freelance team or outsourced accordingly.
17. Items hired or borrowed from Flowers Inside My Head (such as vases, containers, props) shall at all times remain the property of Flowers Inside My Head unless you wish to purchase them. You are responsible for the goods during the hire period from the time of delivery until the goods are accepted back into the possession of Flowers Inside My Head. All items must be returned in the condition they were delivered or a replacement fee for the item will be charged. The hire period for all goods supplied by Flowers Inside My Head will be agreed prior to your wedding day/event, along with details for return/collection. It is the responsibility of the Bride and Groom to fund any postage/delivery charges, Flowers Inside My Head can collect and this will be charged in the final quote.
18. All flowers will be delivered to you in prime condition in water or suitable packaging for maximum shelf life. It is the responsibility of the receiver/ caterer/ venue to make sure the flowers are kept in optimum conditions according to the florist’s instructions. Flowers Inside My Head cannot be held responsible for any failures in the flowers if these instructions have not been adhered to. Where flowers are installed prior to a wedding/event (the day/days before the event), Flowers Inside My Head cannot take responsibility for the shelf life and condition of the flowers between installation and the commencement of the wedding/event. Any damages or failed flowers will be replaced at an additional charge.
19. Pinning of buttonholes/corsages on dresses and suits is done at the wearers own risk. Flowers Inside My Head cannot be responsible for any snagging, staining or tearing to delicate materials by any pins or fastenings we supply.
20. On collection or delivery, advice will be given on how to care for your flowers, for example, they need to be kept cool, away from heat and drafts and in water until use (if bouquets).
21. Plant material can be harmful if consumed. For young bridesmaids and page boys please make them aware of the dangers of eating any of the elements in their flowers or buttonholes.
22. Cancellation of The Flowers Inside My Head products or service must be notified as soon as possible in writing. Any booking fee will be retained regardless of the circumstances of the cancellation. Should a wedding or event be cancelled within 14 days of the date we are unfortunately unable to refund you due to the materials already being purchased. Up until 2 weeks prior to the wedding/event (and before flowers have been ordered) the entire fee will be refunded minus a 10% cancellation fee.
23. Flowers Inside My Head requires that we are the sole provider of floral arrangements and/or fresh flowers.
